Under the General Data Protection Regulations (GDPR) Froxfield and Privett Garden Club (the Garden Club) has a duty to tell members how their personal information is collected, used, stored and managed.

  1. What Personal information do we collect and how will we use it?

    Personal information is collected from members by the Garden Club. This information comprises names, addresses, telephone numbers and email addresses. It is used for the following purposes:

    • To administer the Garden Club including its membership records

    • To advise members of meetings and other activities being undertaken by the Garden Club

    • To advise members of other garden orientated activities taking place locally of which we are advised by other garden clubs, the RHS or the Hampshire Federation Horticultural Societies

    • To promote the interests of the Garden Club

    • To maintain our own accounts and records

    Should the Garden Club wish to use your personal information for a purpose not covered by this notice, the Garden Club will provide a new notice explaining this new use prior to it occurring.

    Personal information held by the Garden Club will be treated as confidential and will not be shared with anyone outside the committee without the member’s explicit permission.

  2. How will we store your personal information and for how long?

    Your personal information will be held electronically on our administrators’ databases (either by the chairperson, secretary, treasurer, or show secretary). Some of your personal information is stored in paper format by the treasurer whilst work is being carried out on it.

    Your personal information will be stored until such time as we will no longer need it. Once your membership ends, we may decide to delete it immediately or retain it for a maximum of up to two years after the individual ceases to be a member of the Garden Club. This is to enable us to reinstate members easily should they decide to re-join us or where members have inadvertently allowed their membership to lapse. After this period, it is destroyed.

  3. What rights do you have?

    Under GDPR members are entitled to view, amend, or request deletion of the personal information that is held by the Garden Club. To exercise these rights or in the event of queries or complaints, please contact the Club Secretary.
